File Format and Size Limits

Accepted file formats, size limits per upload, handling multi-page PDFs, and what to do with password-protected files.

The portal accepts most common document formats. This article covers the exact list of accepted file types, size limits, and a few special cases to know about.

Accepted Formats

  • PDF (.pdf) — preferred for all financial documents.
  • Excel (.xlsx, .xls) — for general ledger and trial balance exports.
  • CSV (.csv) — for transaction exports.
  • Word (.docx, .doc) — for narrative documents and engagement letters.
  • Images (.jpg, .jpeg, .png) — for receipts and supporting paperwork.

Size Limit

Each file can be up to 20 MB. Most monthly bank statements and standard P&L exports are well under this limit. If your file exceeds 20 MB, compress it with a free tool like ilovepdf.com or split it into smaller files before uploading.

Multi-Page PDFs

Multi-page PDFs are fully supported. A bank statement with thirty pages or a tax return with sixty pages will process exactly the same as a single-page document. You do not need to split a PDF into individual pages before uploading.

Password-Protected PDFs

The portal cannot process password-protected PDFs. Many banks send statements with passwords by default. To remove the password: open the PDF, enter the password, then in your PDF reader choose File > Print > Save as PDF (or use a free tool like ilovepdf.com's Unlock PDF feature). Upload the resulting unprotected file.

Scanned vs. Digital PDFs

  • Digital PDFs (exported directly from QuickBooks, your bank's website, etc.) are preferred — the AI extracts data with the highest accuracy.
  • Scanned PDFs (photos of paper statements) are supported but may take longer to process.
  • For best results, always download statements digitally rather than scanning a printed copy.
