Most upload errors fall into a handful of common categories with quick fixes. If you hit an error message, find it below and follow the steps. If the issue persists, the contact form at aitaxaccountant.com gets you a response from our team.
File exceeds 20MB
- Compress the PDF using a free tool like ilovepdf.com or smallpdf.com.
- If the PDF covers multiple months, split it into smaller files (e.g., one per month).
- For scanned PDFs, reduce the scan resolution to 200 DPI — still readable, much smaller.
Unsupported file type
- Convert .pages, .numbers, or .key files to PDF first.
- Re-export from your accounting software as PDF, Excel, or CSV.
- Photos taken on a phone (.heic, .webp) should be converted to .jpg or .png before uploading.
Password-protected PDF
Open the PDF in your reader, enter the password, then use File > Print > Save as PDF to create an unprotected copy. Or use ilovepdf.com's free Unlock PDF tool. Upload the unprotected file.
No financial data detected
- Your PDF may be image-only — a scanned page rather than a digital export. Re-export the document directly from QuickBooks, your bank, or your accounting platform.
- Confirm the file isn't blank or a cover sheet only.
- For photographed documents, ensure the image is in focus and all text is legible.
Corrupted PDF
- Open the PDF locally. If it won't open in your own reader, it won't open in ours either.
- Re-download the file from the source (bank, QuickBooks, etc.).
- If you generated the PDF by printing from a browser, try printing again or use the source platform's direct export option.
Upload network error
- Check your internet connection.
- Try uploading from a different network or restart your browser.
- Large files on slow connections may time out — compress the file first.
The portal automatically retries failed uploads up to three times before showing an error. If you see a Retry button on a failed file, click it before troubleshooting further.
